Before proceeding with this tutorial, I assume that you have already created and successfully registered your church account. If you have not yet completed this step, I strongly recommend doing so before continuing.
The instructions provided in this tutorial rely on an active and verified church account, and skipping this step may result in errors or an inability to follow along with the setup process effectively.
Please take a moment to create your church account, ensuring that all required details are correctly entered and verified. Once your account is ready, return to this tutorial.
Step 1
Log in to your church account

Go to Church Settings and then to the Clerk Invitations Tab

Step 2
Inviting Your Church Clerk
To grant access to your church clerks and assistant clerks, follow these steps:
- Enter the Clerk’s Email
- The system allows you to invite church clerks by entering their email address.
- You can invite multiple clerks, including assistant clerks, as needed.
- Managing Clerk Assignments
- Since the Adventist Church appoints officers on a yearly basis, the system is designed to automatically revoke clerk access for individuals who are not reappointed by the church.
- If necessary, the system also allows you to assign multiple assistant clerks, ensuring that church administrative tasks are well-supported.
- Only the church account holds the authority to grant or revoke clerk access, ensuring proper control over who manages church records.
- Since the Adventist Church appoints officers on a yearly basis, the system is designed to automatically revoke clerk access for individuals who are not reappointed by the church.
- Invitation Email and Token ID
- When a clerk is invited, the system will send an invitation email containing a unique Token ID.
- This Token ID is mandatory for registration—without it, no one can sign up as a clerk for a specific church on the platform.
- When a clerk is invited, the system will send an invitation email containing a unique Token ID.
- Church Clerk Assignment Rules
- The Token ID uniquely identifies the church to which the clerk is assigned.
- Each clerk can only be assigned to one church at a time, and no clerk can have multiple church assignments.
- The Token ID uniquely identifies the church to which the clerk is assigned.

This system ensures secure and controlled access to church administrative functions while adapting to the Adventist Church’s yearly appointment process.
Step 3
Church Clerk Invitation and Registration Process
Once you invite a church clerk, they will receive an invitation email with the necessary details to complete their registration. The process is outlined below:

- Invitation Email
- The invited church clerk will receive an email containing:
- Their unique Invitation Token (which is required for registration).
- A link to the registration page where they can complete their sign-up.
- Their unique Invitation Token (which is required for registration).
- The invited church clerk will receive an email containing:
- Automatic Token Entry
- When the clerk clicks the registration link in the email, they will be redirected to the registration form.
- Their Invitation Token will be automatically pre-filled in the appropriate field, eliminating the need for manual entry.
- When the clerk clicks the registration link in the email, they will be redirected to the registration form.

Completing Registration
- The clerk must fill in the remaining required details, such as:
- Full name
- Contact information
- Password (to secure their account)
- Once all details are entered, they will click the “Register” button to submit their application.
Accessing the Clerk Dashboard
- Upon successful registration, the clerk can log in using the dedicated church clerk login portal.
- After logging in, they will gain access to their Clerk Dashboard, where they can manage church records, attendance, and other administrative tasks.

Noticed that unlike the login process of a Church Admin account, the Clerk login doesn’t require an ID.

This streamlined process ensures that only authorized clerks can register while maintaining security and ease of access for church administration.
